We dislike the term “Day Of Coordinator.” It doesn’t come close to what you need in terms of expertise to get you through the final stages of planning and implementing your wedding or event without sweating the details and logistics.  Work with one of our highly trained Eternal Event Design Coordinators in the last week prior to your event to implement your event smoothly and effectively.

Services include:

Timeline Planning Meeting: to review all last minute details and logistics of event – walk thru at event venue to discuss floor plan, flow, etc if needed with caterer, venue contact, décor team and complete the comprehensive detail checklist.

Logistics Coordination: Create a complete production and event timeline for event, create vendor contact sheets and distribute to all vendors

Wedding Party Timeline: Create Specific timeline for wedding party – distribute and review at rehearsal or to a provided email list the week of the wedding

Production: Approximately 8 hours on day of event to supervise deliveries, set up, implementation & strike

Manage all moving pieces of the event: Direction of vendors, attend guest needs and inquiries, trouble-shoot challenging situations, etc

Event Emergency Kit: It’s Huge and you want it! Ask us what the weirdest thing in there is and you’ll be surprised!

Eternal Event Design “Month of Planner”

This plan is for that couple that wants to turn everything over the last month prior to the big day! Our month of wedding coordination package is designed for couples who want to do most of the planning themselves but would like a professional to finalize and oversee all of their wedding plans. Let us handle every last detail so you, your family and your guests can truly relax and enjoy your wedding day.

Services include:

  • General preferred vendor list and estimated day-of timeline upon contract signature
  • A”wrap up” planning meeting held 6-8 weeks prior to wedding date to fine tune timeline, discuss logistics and more
  • Attend your final venue/catering, floral, and entertainment meetings
  • Review all of your vendor contracts
  • Create packing checklists for ceremony and reception items
  • Assist with reception layout
  • Communicate seating arrangements and entrée selections with catering team
  • Vendor confirmations and coordination including distribution of timeline, directions, logistics

Customizable Inclusions:

  • Venue Selection & negotiation
  • 1 Initial planning meeting to develop an event style, determine goals and priorities and to put a plan in place for moving forward with budget, planning and design objectives
  • Create a comprehensive budget projections and planning timeline for clients enabling them to stay on track and on budget
  • Facilitate choice of appropriate vendors including, but not limited to décor, catering, rentals, linens, entertainment, photography, video, lighting, hotel room blocks for out of town guests, invitations and stationery, favors, staffing needs, transportation, event insurance, and more based on style, availability, and price
  • Streamline and make vendor introductions via email so client can make appointments with vendors based on their availability – a specified number of meetings to attend vendor meetings of client’s choice
  • Review vendor contracts and make recommendations
  • Develop and present design and flow concepts inspired by the client that are appropriate to the time of day and chosen setting
  • Work with designated catering contact, floral designer, prop and rental companies, lighting technicians, etc to carry concept through overall presence of each individual element of the event
  • Present unique ideas to compliment chosen design concept for invitations, favors, and all the other details going into the reception
  • Advisement on etiquette and troubleshooting any challenges that come up while planning
  • A specified number of planning meetings at the Eternal Event Design home studio to keep on track of details and design as needed

The Eternal Event Design team are always happy to take their proverbial ‘show on the road’ for clients looking to plan an event outside the Phoenix metro area.   We fancy ourselves experts in many other destinations and are happy to help you design and implement a destination wedding or event that doesn’t fit into the dreaded ‘resort package’ mold where your choices are less than creative. We can help you with travel arrangements and coordination for your guests as well as event details like finding the perfect personality for your destination affair and the logistics of acquiring wedding licenses or permits in foreign countries.   The peace of mind of having a SINGLE CONTACT for all these plans is going to make your life as a host way easier!

For events outside Phoenix metro area– our regular packages are applicable with added fees for travel expenses.
